Method 2: Entering Contact Information on the Contact Owner Detail   

Ultra-Staff has an alternative method to updating the Contact Detail from within the Contact Manager.  By double-clicking anywhere on the Owner line, the Contact Owner Detail window is displayed.  This window allows the user to enter the same information as on the Owner line, with some additional features such as the Time Stamp and Spell Check options within the Last Result field.  Updating the contact information using this method writes to the Client and Client Contact Logs in the same manner described above.  All appropriate entries are also journalized as a permanent activity record.

Like Method 1, there are fields that are recommended to be filled in for proper reporting and follow up.  They are:

 

      Last Contact Date.  This is the date that the activity took place.

      Call Reason.  What activity took place? Phone call?  Client visit?

      Last Results. Notes on what the current activity was and what happened.

      Call Type (if needed). What is to happen in the future?  Appointment? Interview?

      Follow up Date / Time (if needed). The date/time of the future item/Call Type.

      Meeting Date / Time (Client Contact only). The date/time of the future meeting.

      Alarm.  This checkbox will set an Alarm reminder from the Daily Planner for the Follow up/Meeting Date if checked.

 

Both of these methods will get to the same end result -- the proper documentation of calls to Applicants or Client Contacts -- so whichever is easiest to use is the best way to use it!
